Appointment capacity is set by the embassy or consulate, not by the centre where you hand over your passport. The mission decides how many files its officers can process in a day, then authorises the outsourced centre to publish that many dates. The centre cannot create a slot. Neither can any consultancy, agent or 'contact inside'. An empty calendar is a capacity decision taken upstream, and it is visible to everyone equally.

That is why some countries feel impossible from India while others feel routine. A large mission with visa sections in several Indian cities has room to breathe. A smaller European mission may run its whole India operation from one consular section in Delhi, sometimes covering neighbouring countries as well. Those sections have a fixed number of officers and a fixed number of counters. The queue is real, and it is not about you personally.

Season makes it sharper. Summer travel, the autumn study intake and the wedding and holiday months push everybody at the same doors at the same time. Everyone is chasing the same limited number of dates. A country that had open dates in a quiet month can be shut solid in a peak one, then open again once the peak passes.

What a release actually looks like

Dates are not trickled out continuously. Missions commonly authorise blocks — a batch of dates opened at an interval, sometimes on a fixed day and hour, sometimes with no announcement at all. Between two releases the calendar genuinely does not change. Refreshing it four hundred times that week changes nothing, and aggressive refreshing can get your session throttled or blocked by the portal's own protection.

The second source of dates is cancellations. When somebody drops out, that date returns to the pool and can surface at any moment, often at short notice. This is the honest reason people say 'keep checking'. But checking only helps if you can actually take the date that appears, which brings you to the part of this you do control.

VFS, BLS and TLScontact, and why a forwarded link is risky

Missions outsource the front office — collecting the form, taking biometrics, couriering the passport — to commercial partners. VFS Global, BLS International and TLScontact are three you will come across in India. Which company handles which country is a commercial contract, and contracts get retendered. A country can change operator, and the same country can use different partners in different Indian cities.

So the only safe starting point is the embassy or consulate's own website. It will name the partner it currently authorises and link to the booking portal for your category — the mission's own guidance is the authority here. Do not start from a search result or a link forwarded on WhatsApp. Lookalike booking sites are common, and they will happily take a payment for an appointment that was never made anywhere.

Jurisdiction decides where you are allowed to apply

Where you may apply is decided by where you live, not by which centre is nearest or emptiest. Missions divide India into jurisdictions, usually by state, and the counter checks your address proof against that map. Some countries serve Punjab from Chandigarh or Jalandhar. Others handle all of India from Delhi. Confirm it on the mission's own website before you book, because a date in the wrong jurisdiction can turn into a wasted journey and a lost slot.

For Schengen there is a second rule stacked on top. You apply to the country that is your main destination — where you will spend the most nights. If the nights are equal, you apply to the country you enter first. Booking with whichever Schengen mission happens to have dates free is not a clever shortcut. If that mission decides it is not the right one for your trip, the application can be handed back unprocessed, and the date goes with it.

Check also which appointment you actually need. If you have given biometrics for a Schengen visa recently, the centre may be able to reuse them, and that can change the appointment type you should book. Ask the centre rather than assuming. Booking a biometrics slot you do not need takes a date out of your own timeline and out of somebody else's.

What you control and what you do not

You cannot make slots appear. You can make sure that a slot appearing is useful to you. It is easy to lose a date the other way round — you hunt for an appointment first, get one at short notice, and then discover the bank statement is not ready or the passport has too few blank pages. Build the file first, then go looking for the date.

Outside anyone's hands: how many dates the mission releases, when it releases them, how many officers it has, whether somebody cancels, and how long the decision takes after you submit. Any promise made to you about those five things is a guess wearing the clothes of a service. A consultancy that pretends otherwise is telling you what you want to hear.

Anyone guaranteeing a slot is selling what they do not own

If someone offers you a guaranteed appointment date for a fee, they are selling something they do not have. You will see several versions: a broker who wants your passport details and portal login to 'book for you', a bot that grabs dates for resale, a copycat website, or an agent who adds a slot charge on top of the official fees you can see published.

The damage is not only the money. Bookings made by automated tools can be cancelled, and the cancellation attaches to the applicant, not to the agent who took the payment. Handing your login and passport scans to a stranger is a data risk you cannot undo afterwards. And on the day itself you learn there is no appointment, with the travel date already gone.

In Punjab, travel and visa consultancies must hold a licence under the Punjab Prevention of Human Smuggling Rules, 2013. Ask any agent for the number and check it against the district records. When the window is genuinely too tight

Sometimes the honest answer is that the date will not arrive in time. It is worth saying early, because your options shrink as the window closes. Moving the trip costs far less than a refused file or a forfeited deposit. For study, ask the institution about deferring to the next intake before the deadline passes. Every institution sets its own deferral rules, so ask yours directly and get the revised offer in writing.

Some missions operate their own urgent or emergency route for documented cases. Where one exists, the mission's published guidance sets who qualifies and what evidence it wants — the mission decides, not the centre and not us. If your situation genuinely is one of those, go through the official route and keep the proof together. If it is not, do not dress it up — a refused urgency request costs you time you do not have.

This is the point where an honest verdict is worth more than an appointment. Can a visa consultant get me an appointment faster than I can?

No — nobody can create a slot or obtain a date outside the official portal. Dates come from the embassy or consulate and appear on that portal for everybody at the same moment. What a consultant can genuinely do is make sure your file is complete and your jurisdiction and visa category are correct, so that when a date does surface you can take it instead of losing it. Why does the calendar show no dates at all, even months ahead?

Because the mission has not released those dates yet, not because they are all taken. Missions authorise the centre to open blocks of dates at intervals, and until the next block opens the calendar sits static and shows nothing. A small consular section covering the whole country works with less capacity than a mission with visa sections in several cities. An empty month can mean 'not published yet' rather than 'fully booked'. The practical response is to be document-ready and to check at a steady rhythm.

What time of day do new slots open?

There is no universal time, and any specific hour you read on a forum is somebody's guess about one country at one moment. Some missions release on a fixed weekday and hour, some release with no announcement, and cancellations drop back into the pool at random. Rather than trusting a rumoured time, watch your own portal over a couple of weeks and note when dates actually appeared. Check steadily rather than hammering the site — portals can throttle or block sessions that refresh aggressively, and you can lock yourself out.

Can I apply in Delhi if there are no dates in Chandigarh or Jalandhar?

Only if Delhi is the centre your state of residence is assigned to. Missions divide India into jurisdictions and the counter checks your address proof against that map. Move the date if you possibly can — that is the only lever fully within your control. The country where you will spend the most nights — your main destination — regardless of which mission has dates free. If the nights are equal across countries, you apply to the country you will enter first. One Schengen visa covers the whole area, so there is no advantage in shopping around for the emptiest calendar, and applying to a mission that is not the right one for your trip can see the file handed back unprocessed.
