Japan Business Visa — overview
The Japan Business Visa is a short-stay visa for short-term business activity in Japan — meetings, conferences, negotiations and business-related events.
Alongside the standard documents, the Embassy of Japan expects an invitation from the company in Japan and a letter from your Indian employer setting out the purpose of the visit. Applications are submitted through VFS Global in the New Delhi jurisdiction.

Japan short-term business visa for Indian nationals
The short-term business visa covers "business affairs, market research, conference, cultural or sport exchange". It is applied for through VFS Japan and decided by the Embassy or Consulate General with jurisdiction over your state; Punjab applicants fall under the Embassy of Japan in New Delhi. All photocopies must be on A4.
Prepared by the applicant
- A valid passport with more than two blank pages, plus old passports; photocopies of the biodata page (first and last page).
- A completely filled and signed visa application form and one photograph taken within the last six months, passport size, white background, on good-quality paper.
- A travel order from the employer and a certificate of employment.
- The flight or cruise schedule to and from Japan.
- The latest income-tax return (optional for single entry; required when requesting a multiple-entry visa).
- Students or dependants: consent from parents or spouse and their latest income-tax return, or six months of bank statements; proof of relationship for any accompanying dependant.
Prepared by the inviter or guarantor in Japan
- An invitation letter, an itinerary in Japan with hotel and contact information, and a list of applicants when several travel together.
- If the Japanese side pays: a letter of guarantee and a certified copy of the company's incorporation register or an overview of the organisation.
The Embassy notes that this is "a guide to the documents you should provide" and that it "may request you for an interview / additional documentation depending on your personal circumstances". Documents other than the passport are not returned.
