Czech Republic Business Visa — overview

A Czech business or conference visa is a short-stay Schengen visa (Type C): up to 90 days in any 180-day period, decided by the Embassy of the Czech Republic in New Delhi.

The business-specific part is brief — an invitation from the Czech company and a cover letter from your employer, each confirming the same three facts. The detail is in the common list: two high-definition photographs, a cover letter carrying the passport numbers of everyone travelling, and, where someone else is paying, their bank statements and tax returns alongside your own.

Three facts, confirmed twice

For a business journey the Czech embassy adds two documents to the common list — an invitation from the inviting company or organisation and a cover letter from the applicant's employer — and states what both must confirm, as a minimum:

  1. your identity;
  2. the purpose of the journey — meetings, conferences, training or business-related events;
  3. the period and place of intended stay.

Because the wording is identical for both, the letters are read against each other. Use the same dates, the same city and the same description of the purpose in each. Then go past the minimum: say who pays, name the contact at the Czech company, and mention how the two firms are connected.

A conference is covered by the same checklist

The list is titled Business and Conference. For a conference, the organiser is the inviting organisation, and your employer's letter explains why you are attending.

The common list has the Czech fingerprints

  • Two photographs, high definition, face filling at least 80% of the frame.
  • A signed cover letter listing the names and passport numbers of everyone travelling with you.
  • Copies of the biodata page and the last page of the passport, and earlier Schengen stamps.
  • For the self-employed, an ITR that is barcode verifiable, with GST registration and the business bank statement.

If the company is the sponsor

The checklist asks for the sponsor's bank statement and income-tax acknowledgements as well as yours — every applicant has to submit original bank account statement of their own and of the sponsor. A company-funded trip therefore carries two sets of financial evidence: the firm's, showing it can pay, and yours, showing who you are.

Where a private person is sponsoring or accommodating you instead, the Czech rule is stricter: the original of an official invitation verified by the Alien Police Service.

Documents you need

  • Application form

    Completely filled in and signed by the applicant.

  • Passport and copies

    Issued within the last 10 years, valid more than three months after the scheduled return, at least two empty pages. Copies of the biodata page, the last page (Indian passports), and Schengen entry and exit stamps from previous passports.

  • Two photographs

    Recent (under six months), high-definition, colour, white background, face covering at least 80% of the frame, to ICAO specifications.

  • Cover letter — with passport numbers

    Signed by you: purpose, duration, the names and passport numbers of anyone accompanying you, and transport and accommodation details.

  • Invitation from the Czech company or organisation

    Confirming, as a minimum, your identity, the purpose of the journey (meetings, conferences, training or business-related events), and the period and place of stay.

  • Cover letter from your employer

    Confirming the same three points.

  • Proof of transport and lodging

    Itinerary and means of transport; hotel or rental reservations for each Schengen state visited.

  • Travel medical insurance

    All Schengen countries, at least EUR 30,000, dated to cover the whole trip including arrival and departure days.

  • Bank statements and tax returns

    Your original personal bank statement for three months, stamped and signed by the bank, and ITR acknowledgements for two assessment years — plus the sponsor's, if the trip is sponsored.

  • Proof of occupation

    Employed: three months' payslips, employment contract and leave approval. Company owner or self-employed: company registration, GST registration, business bank statement and a barcode-verifiable ITR.

  • If you are sponsored privately

    The original of an official invitation verified by the Alien Police Service; and, if the person paying is not travelling, their notarised written consent.

A refusal isn't the end
