Denmark Business Visa — overview

A Danish business visa is a short-stay Schengen visa (Type C) for meetings, conferences, training or business events in Denmark — up to 90 days in any 180-day period. Applications from India are handled by the Royal Danish Embassy in New Delhi and submitted through VFS.

Denmark's process has its own rhythm. The form and the fee are completed online before you ever reach the counter, the embassy publishes an exact daily amount you must be able to fund, and if anything is missing you are given three days — not three weeks — to supply it.

Three things Denmark does differently

Most Schengen business checklists are interchangeable. Denmark's has three features you will not find on the others, and each one changes how you prepare.

1. A published daily figure. Denmark does not leave "sufficient means" to interpretation. The embassy's checklist states that you must have DKK 350 a day at your disposal if you are staying in a private home, and DKK 500 a day if you are in a hotel — and that failing to show it may lead to refusal. Work the sum out before you apply: a ten-day hotel stay is DKK 5,000, plus the fare home. If your statement does not clear it comfortably, fix that first.

2. Everyone shows their own bank statement. On a company-funded trip it is natural to send only the employer's letter. Denmark's checklist closes that door in so many words: the personal statement is required from all applicants regardless of sponsorship, original, stamped and signed by the bank, covering three months.

3. A three-day clock on missing papers. If something is absent or wrong at submission, you sign an undertaking and have three days — the signing day counts as day one — to deliver it. After that the embassy decides on what it holds. A file that would be "held pending documents" elsewhere can simply be refused here, so we check the pack against the list before the appointment, not after.

The form and the fee come first — online

Denmark's application does not start at the VFS counter. You fill in the form at applyvisa.um.dk, pay the visa fee there, and print two things: the form, which you sign, and the fee receipt. Bring both, printed.

Two letters, one purpose

The business case rests on a pair of documents that the embassy describes in almost identical words:

a covering letter from your Indian company — who you are, why you are going (meetings, conferences, training or business events), where and for how long;
a signed invitation from the Danish side — the host's contact details and the same purpose, place and dates. The embassy recommends the host complete the online invitation form on nyidanmark.dk.

Because the two are read side by side, they need to agree on the dates, the city and the reason. We draft the Indian letter against the Danish invitation, not separately.

Hold the ticket

The checklist is unusually direct: the embassy recommends that you do not buy a plane ticket before your visa has been approved. Submit a reservation. Nobody can promise a visa, and Denmark is telling you not to bet the fare on one.

Documents you need

Online application form
Completed on applyvisa.um.dk, then printed and signed by the applicant.
Visa fee receipt
The fee is paid online; print the payment receipt from applyvisa.um.dk and bring it with the file.
One photograph
Recent (under six months old), colour, white background, 3.5 cm × 4.5 cm, a good likeness.
Passport
Valid at least three months beyond your intended stay in the Schengen area, with at least two blank pages. Any other travel document must be valid for six months.
Previous Schengen visas and stamps
Copies of earlier Schengen visas and the entry and exit stamps from your previous passports.
Covering letter from your Indian company
From the organisation or company in India, stating who you are, the purpose of the journey (meetings, conferences, training or business events), and the period and place of stay.
Signed invitation from the Danish host
With the inviting party's contact details, your identity, the purpose, and the period and place of stay. The embassy recommends the host complete the online invitation form on nyidanmark.dk.
Travel medical insurance
Valid for all Schengen countries, covering at least EUR 30,000 for accident, illness and emergency evacuation, clearly dated to cover the whole trip including arrival and departure days.
Flight reservation — not a purchased ticket
A return or round-trip reservation, plus intra-Schengen travel if you visit several states. The embassy recommends you do not buy the ticket before the visa is approved.
Proof of accommodation
Hotel or rental reservations for every Schengen state on the itinerary, or proof of sponsorship and private accommodation from your host.
Personal bank statement — from every applicant
Original, in your name, showing the last three months, stamped and signed by the bank. Required even when the trip is sponsored.
Evidence of where the money comes from
Income-tax return acknowledgements for the last two assessment years. Employed: three months' payslips, employment contract and leave approval. Company owner or self-employed: registration certificate with GST number. Sponsored: proof of sponsorship. Retired: three months' pension statements and proof of other regular income.
