Estonia Business Visa — overview

An Estonian business visa is a short-stay Schengen visa (Type C): up to 90 days in any 180-day period. The application is completed online on Estonia's visa portal and then submitted through VFS to the Embassy of Estonia in New Delhi.

Estonia wants the business trip described by the day. The invitation from your Estonian partner must carry a detailed, day-to-day schedule of the meetings or training, and your employer's letter must include a no-objection statement for the trip. Financial papers are accepted only as originals on A4, with the bank's stamp and signature.

A schedule by the day

Estonia's business checklist asks the inviting company for something most hosts do not think to write: a "detailed schedule of the business meetings or trainings (day to day schedule)".

So the invitation is not "we invite Ms Kaur for meetings from 3 to 9 June". It is 3 June, arrival; 4 June, product review with the engineering team in Tallinn; 5 June, site visit in Tartu; and so on to departure. The letter also carries the inviter's full name, address, e-mail and telephone, names you, states the dates and purpose, and is signed and stamped — the original or a copy is accepted.

A day-by-day plan does real work: it lets the officer see that the length of stay you have asked for matches what you will be doing.

Your employer adds a "no objection"

The cover letter from your employer goes on business letterhead, is signed and stamped by HR or the directorate, and confirms three things about you — identity, position and duration of service — then adds:

a "no objection statement" regarding the planned trip to Estonia and the Schengen states;
the dates and purpose of the trip.

Match those dates and that purpose to the Estonian schedule exactly.

Originals, A4, stamped

Estonia is firm about the financial section: "All documents have to be ORIGINALS, in format A4." Personal bank statements for three months with the stamp and signature of the bank; the ITR acknowledgement receipt page for the last two assessment years; and, if you are employed, three months of salary slips plus the salary account statements, also stamped and signed.

The application starts online at eelviisataotlus.vm.ee.
The form is signed twice.
Old passports are produced — or an FIR or proof of cancellation.
The photograph has no software corrections.
Do not buy tickets before the visa is issued.

Valid in the Schengen countries, at least EUR 30,000, for the entire stay, from Estonia's list of accepted insurers.
Proof of accommodation
Hotel or rental reservations for each Member State visited.
Proof of transport — reservation only
Return flight reservation and itinerary. The embassy asks applicants not to buy tickets before obtaining the visa.
Cover letter from your employer
On business letterhead, signed and stamped by HR or the directorate, confirming your identity, position and duration of service; a no-objection statement regarding the trip to Estonia and the Schengen states; and the dates and purpose of the trip.
Invitation from the business partner in Estonia
With the inviter's full name, address, e-mail and telephone; original or copy, signed and stamped; naming the invitee, the dates and purpose, with a detailed day-to-day schedule of the business meetings or training.
Financial documents — originals on A4
Personal bank statements for the last 3 months with the bank's stamp and signature, and the personal ITR acknowledgement receipt page for the last 2 assessment years.
If employed
Salary slips for the last 3 months and the last 3 months' statements of the salary account, stamped and signed by the bank.
If self-employed or a company owner
Business registration certificate, partnership deed, proof of proprietorship or other proof of ownership.
