Luxembourg Business Visa — overview

A Luxembourg business visa is a short-stay Schengen visa (Type C): up to 90 days in any 180-day period, decided by the Embassy of Luxembourg in New Delhi. Everything is submitted on A4.

The Luxembourg invitation is asked to do a lot: state the purpose with the complete business programme of visits and meetings, the travel dates, and your name, date of birth and passport number — and say who pays for travel and accommodation. Your employer's letter must then repeat all of that, and add your position and length of service.

An invitation that reads like an agenda

Luxembourg does not want a letter that says you are invited for business. It wants the complete business programme — planned visits and/or meetings to attend. On company paper, the invitation has to give:

the purpose of the visit, with that programme;
the dates of travel;
your name, date of birth and passport number;
who covers the travel and/or accommodation expenses.

Those identity details are easy to leave out, and an invitation without a passport number is not the document the checklist describes. We send the Luxembourg company a short template so the four elements are all there the first time.

Your employer's letter mirrors it

The covering letter from your employer — original, on letterhead — states your position and length of service, "and the same as above": the same purpose, programme, dates and payer. Two letters, one set of facts. If the invitation says the Luxembourg firm pays for the hotel and your employer's letter says the Indian company does, the file contradicts itself on the question the embassy most wants answered.

Follow the money to the right bank account

When the inviting or employing company pays, Luxembourg asks for that company's bank statements for the last three months, with the branch manager's name and signature. A personal statement is the wrong evidence for a company-funded trip. Finance teams take time to release signed statements, so request them when the travel is approved, not the week of the appointment.

On company paper: the purpose of the visit including the complete business programme with planned visits and meetings, dates of travel, your name, date of birth and passport number, and who covers travel and/or accommodation.
Covering letter from your employer — original
On business letterhead, stating your position, length of service, and the same details as the invitation. Self-employed: an excerpt from the company register or similar document.
Proof of financial means
If the inviting or employing company pays for the travel: that company's bank statements for the last three months, with the branch manager's name and signature.
