Germany Guest Scientist & Research Visa — overview
Germany's short-stay visa for guest scientists, researchers and students on a research or course visit is a Schengen visa (Type C): up to 90 days in any 180-day period. The form is completed online on VIDEX and submitted through VFS.
The file is built on two institutional letters rather than personal ones — a letter from the German institution hosting you, and an original signed letter from the Indian institution sending you that must say, among other things, how the trip is being financed. A certificate of admission or a course registration can take the place of the German letter.

Two institutions speak for you
On most visas the applicant explains the trip. On Germany's research and guest-scientist visa, two institutions do — and the checklist says exactly what each must put in writing.
The German side — one of three documents:
- a covering letter from the inviting institution, on its letterhead, giving your name and passport number, the purpose and duration of the stay, and what activities are planned; or
- a certificate of admission; or
- registration at an educational establishment for academic or vocational courses.
The Indian side — an original, signed sending letter on your institution's letterhead, with your name and passport number, the purpose and duration, and details concerning the financing of the trip.
That last clause is the one to get right. "The candidate will be supported by the institute" is not a detail. "The host institute pays a stipend of X under grant Y; our institution covers airfare; the candidate holds personal funds for incidentals" is. We draft the Indian letter so the financing reads as one clear arrangement, and check that it matches what the German letter says about who pays for what.
Activities, not just a title
The German letter must state what you will actually do — the experiment, the lab, the dataset, the workshop. A letter that says only "invited as a guest researcher for six weeks" leaves the officer without the one thing the checklist asks for. Ask your host for two or three concrete sentences; it is the difference between an invitation and a plan.
Know which side of 90 days you are on
This is a short-stay visa: up to 90 days in any 180. It fits a research visit, a guest stay, a summer school or a short course. It does not fit a doctorate, a research employment contract or a fellowship running past three months — those are German national visas, applied for separately and on different evidence. If your invitation is for four months, the right answer is a different application, not a shorter story.
The German mission's house rules
- Form on VIDEX, printed in full including the barcode pages.
- Two signed declarations: True and Complete Information, and travel with valid medical insurance.
- A copy with every original — the Visa Section does not return originals without one.
- A copy of your academic degree — Bachelor's, Master's or PhD, or the equivalent for a foreign degree.
- Proof of finance for the entire trip, unless the two institutional letters already set it out — one more reason to make the financing paragraph complete.
- Passport issued in the last 10 years, three months' validity after return, two empty pages, and no observations on the front data page.

Documents you need
VIDEX application form
Completed online on the VIDEX website, printed in full — including the barcode pages — and signed.
Two signed declarations
The Declaration of True and Complete Information, and the declaration of travel with valid medical insurance.
Passport
Issued within the last 10 years, valid at least 3 months after your scheduled return, at least two empty pages. Passports with observations on the front data page are not accepted. Add an A4 copy of the biometric and address pages.
Biometric photograph
At least one, 35 × 45 mm, white background, face covering 70–80% of the frame, not older than six months.
Personal covering letter and itinerary
Your own letter, with proof of intended transport and the itinerary.
Letter from the German host institution
On the institution's letterhead, naming the traveller and passport number, the purpose and duration of the stay, and what activities are planned.
…or a certificate of admission, or a course registration
A certificate of admission, or registration at an educational establishment for academic or vocational courses, is accepted in place of the host letter.
Original signed letter from your Indian institution
On institution letterhead, naming the traveller and passport number, the purpose and duration of the trip, and the details of how the trip is financed.
Copy of your academic degree
Bachelor's, Master's or PhD, or the equivalent if the degree was obtained abroad.
Proof of finance for the whole trip
Needed where the financing is not already set out in the sending letter or the invitation letter.
Proof of accommodation
Hotel, rental or campus residence reservation for each Schengen state visited. Staying with family or a friend: their signed confirmation, proof of address and a copy of their passport or German ID card.
If a person is sponsoring you
A sponsor letter with their passport copy and three months of bank statements stamped by the bank — passbook copies are not accepted. Add a marriage certificate if the sponsor is your spouse, or a birth certificate if a parent. A sponsor in Germany adds their residence permit and, if provided, a Verpflichtungserklärung (formal obligation letter).
Proof of your own economic status — even if sponsored
The checklist states this is necessary even when the trip is sponsored. Employed applicants provide payslips for the last three months.
