Nine items, and one sentence that decides the file

Belgium's business checklist is short enough to read in a minute. The line worth slowing down on is number six: a confirmation letter from the company in India explaining the purpose and duration of the journey "and the guarantee to cover all costs that may arise during the stay in Belgium."

A standard travel letter confirms the employee, the dates and the purpose, and stops there. Belgium wants the company to go one step further and underwrite the trip in writing. We draft that paragraph explicitly — travel, accommodation, daily expenses and any unforeseen cost — on letterhead, signed by someone with authority to commit the company.

"Exact purpose" means exactly that

The Belgian company's invitation must state the exact purpose and period of the visit. Compare:

• "We invite Mr Sharma for business meetings."
• "Mr Sharma will visit our Antwerp office from 4 to 11 March to finalise the 2027 supply agreement and inspect the packing line."

Only the second gives an officer something to check against your itinerary, your hotel booking and your company's letter — and all four should agree.

Hotel for every night

Belgium asks for a hotel reservation for the total duration of the stay. A booking that covers three nights of an eight-night trip is an incomplete file.

The part Belgium prints on every checklist

Even for a company-funded business visit, the embassy asks for guarantees for return: your family background, your professional and socio-economic standing, regular income, and any land or property. It says this is essential to judging whether you intend to leave the Schengen area before the visa expires. A senior role, a long tenure, a family and a home here are evidence — put them in the file rather than assuming the employer's letter is enough.

Practical rules

• Apply at least one month before travel.
• Bring old passports showing earlier trips — two passports maximum.
• The photograph is glued to the form (5 × 3 cm, white background).
• Insurance from the embassy's recognised insurers list, minimum EUR 30,000.
• The purpose cannot be changed and the visa cannot be prolonged once issued.
